Company & General Information

KK POS System & Hardware Sdn Bhd is a Sabah-based technology company specializing in Point-of-Sale (POS) solutions tailored for the Malaysian F&B industry. Established in 2019 in Kota Kinabalu, the company has grown to become one of the leading POS providers in East Malaysia. Our mission is to modernize local restaurants, cafes, and food operators by replacing manual cash registers with cloud-based, O2O (online-to-offline) POS technology that helps businesses save costs, improve efficiency, and increase profits.

Our headquarters is located in Kota Kinabalu, Sabah, and we provide services across major towns in Sabah and Kuala Lumpur. While we are strongly rooted in East Malaysia, our system also supports F&B businesses in West Malaysia through remote onboarding, training, and technical support. This ensures that restaurants, whether in Kota Kinabalu, or Kuala Lumpur, get the same high-quality POS system and after-sales service.

Q Solve is our dedicated after-sales support and service arm. While KK POS System focuses on delivering hardware and software solutions, Q Solve ensures that customers receive 24/7 technical support, training, and troubleshooting. This separation allows us to specialize: KK POS develops and supplies the system, while Q Solve makes sure your restaurant operations never stop due to technical issues.

As of 2025, KK POS System proudly supports over 3000+ F&B outlets across Malaysia, ranging from small cafes and food trucks to large chain restaurants. Many of our clients are based in Sabah, but we are rapidly expanding into Kuala Lumpur reflecting the growing demand for digital transformation in the Malaysian F&B industry.

KK POS System stands out because we are Sabah’s first fully cloud-based F&B POS provider, designed with local businesses in mind. Unlike traditional POS systems that only work on-premise, our solution allows owners to monitor sales, inventory, and staff performance anytime, anywhere through the Boss App. We also integrate with local payment methods like DuitNow, Maybank QRPay, and GrabPay, plus delivery platforms like GrabFood and FoodPanda. This localized approach makes KK POS the go-to solution for businesses in Sabah who want to compete with West Malaysian standards without paying inflated prices.

POS System Features & Capabilities

A cloud-based POS system stores all transaction data, sales reports, and inventory records securely online instead of relying only on a local computer or cash register. For F&B businesses in Malaysia, this means you can access real-time data from any device, anywhere even if you’re traveling outside Sabah or in West Malaysia. Compared to traditional cash registers, a cloud POS reduces the risk of data loss, provides live updates across multiple outlets, and allows owners to monitor business performance without being physically at the restaurant. This helps Malaysian F&B operators respond quickly to demand changes, menu updates, or MCO-style lockdown situations, where takeaway and delivery management becomes crucial.

Even though KK POS is cloud-based, it is designed to continue operating when your internet connection drops. Orders, payments, and receipts will still be recorded in the local system. Once the internet is restored, the system automatically syncs data to the cloud. This ensures smooth operations in areas with unstable internet connections, such as smaller towns across Sabah.

KK POS System accepts almost every major payment method used in Malaysia, including:

  • Cash & Credit/Debit Cards (Visa, Mastercard, UnionPay)
  • E-wallets such as GrabPay, Touch ’n Go eWallet, ShopeePay, and Boost
  • QR-based payments like DuitNow QR, Maybank QRPay, CIMB QR, and Hong Leong QR
  • FPX Online Banking for O2O retail and pre-orders

By supporting all these options, restaurants avoid losing sales from cashless customers and can cater to the growing cashless trend in Malaysia.

The QR Order & Pay feature allows customers to scan a QR code at their table using their smartphones. They can browse the digital menu, place their order, and pay directly using their preferred e-wallet or DuitNow QR. The order is instantly sent to the kitchen display system (KDS) or printer. This not only speeds up table turnover but also reduces the need for waiters to manually take orders, cutting labor costs by up to 80% in peak hours. During the MCO period, many restaurants in Kota Kinabalu used this feature to reduce physical contact and ensure safe dining.

Yes. KK POS System is built to support multi-outlet businesses and franchise chains. Owners can monitor sales, inventory, and staff performance across all outlets in real time using the Boss App. For example, if you own restaurants in Kota Kinabalu, Sandakan, and Kuala Lumpur, you can see which branch is performing best, track ingredient stock levels, and even standardize menu prices instantly across all outlets. This is a major upgrade compared to traditional POS systems that require manual consolidation, saving business owners hours of administrative work each week.

The Boss App is KK POS System’s mobile application that gives restaurant owners full control of their business from anywhere. Owners can:

  • View real-time sales data from all outlets.
  • Track best-selling items and monitor customer trends.
  • Receive low-stock alerts for ingredients.
  • Check staff performance and cashier activity.

For busy F&B operators in Sabah and Malaysia, the Boss App eliminates the need to be physically present. For example, an owner in Kota Kinabalu can still monitor their outlet in Sandakan or KL instantly, without waiting for end-of-day reports.

Yes. KK POS System integrates with GrabFood, FoodPanda, and ShopeeFood, allowing all delivery orders to flow directly into the POS system. This means restaurants no longer need separate tablets for each platform, reducing clutter at the counter and avoiding mistakes in manual entry. This O2O integration saves staff time, reduces human error, and ensures sales reports include both dine-in and delivery orders in one dashboard.

Pricing & Implementation

KK POS System is designed to be affordable for SMEs. For a small restaurant, the typical cost starts at around RM150–RM300 per month, depending on the features required (QR Ordering, multi-outlet, delivery integrations, etc.). Hardware packages (tablet, receipt printer, cash drawer) are usually bundled with the software subscription, making it easy for new outlets to start without heavy upfront investment. When compared to traditional POS systems that can cost RM10,000+ upfront, KK POS System is far more budget-friendly and scalable, especially for cafes, food trucks, and small family restaurants.

The KK POS package usually includes:

    1. Tablet or POS terminal (for cashier and ordering)
    2. Thermal receipt printer
    3. Cash drawer
    4. Kitchen Display System (KDS) or kitchen printer (optional)
    5. QR Code stands for Order & Pay

Since we are based in Kota Kinabalu, Sabah, our team can provide onsite installation and hardware setup. For West Malaysia, we provide delivery and remote support with full guidance.

For a typical small-to-medium restaurant, setup takes 1–3 working days once hardware arrives. This includes installation, menu setup, staff training, and testing. Chain outlets or restaurants with complex menus may take slightly longer, but we ensure a fast and smooth onboarding process. Compared to traditional POS systems that can take weeks of configuration, KK POS System is designed for quick deployment, so restaurants can start selling almost immediately.

KK POS System does not lock F&B operators into long-term contracts. We offer flexible monthly and yearly subscription plans, so restaurants can scale up or down depending on their needs. This is especially helpful for seasonal businesses in Sabah (like seafood stalls or Ramadan bazaars), who don’t want to commit to expensive yearly contracts when operations may only peak for a few months.

Transparency is one of our core principles. KK POS System has no hidden fees—what you see in the subscription plan is what you pay. For e-wallet and DuitNow QR payments, only the standard bank or payment gateway transaction fees (usually 0.5%–1.5%) Unlike some POS providers, we do not take additional commissions on sales, so restaurants in Kota Kinabalu or KL keep more of their profit.

Industry-Specific Solutions

KK POS System is designed to serve the entire Malaysian F&B industry, including:

    1. Restaurants & cafes
    2. Food courts & hawker stalls
    3. Food trucks & kiosks
    4. Bubble tea & dessert shops
    5. Bars & lounges
    6. Fast food chains & franchises

Because the system is customizable and scalable, both small stalls in Sabah night markets and multi-outlet chains in Kuala Lumpur can use the same core platform with different features activated.

Our POS is lightweight and mobile-friendly, making it perfect for small operators like food trucks and kiosks. Instead of bulky hardware, these businesses can run the POS entirely on a tablet or even a smartphone. For example, a café in Kota Kinabalu can start with just one tablet and a Bluetooth printer, keeping setup costs low while still enjoying cloud-based reporting and payment integrations.

Absolutely. KK POS is built for hybrid F&B operations, meaning restaurants can manage dine-in, takeaway, and delivery orders all from the same dashboard. QR Order & Pay helps with dine-in efficiency, while takeaway orders can be processed quickly with order tickets sent directly to the kitchen. Delivery integrations with GrabFood and FoodPanda ensure all channels are synced, so owners never have to juggle between multiple systems. This makes it ideal for Malaysian F&B outlets that need to switch rapidly between dine-in and takeaway, especially during peak hours or government restrictions like the past MCOs.

By using QR Order & Pay, digital menus, and automated kitchen order routing, KK POS reduces the need for waiters to manually take and process orders. One staff member can now manage tasks that previously required three. For example, a restaurant that normally needs 10 waiters during peak hours can operate with just 3–4 staff, saving up to 80% on labor costs while improving service speed and accuracy.

Technical & Support

KK POS System is easy to learn, and most staff master the basics in under 1 day. We provide:

    1. Onsite training for outlets in Sabah.
    2. Remote training & tutorials for West Malaysia.

Training covers cashier functions, menu updates, inventory, and using the Boss App so your team can run smoothly from day one.

We offer 24/7 technical support through Q Solve, our dedicated service arm. Restaurants can reach us via phone, WhatsApp, email, or remote access support. For Sabah customers, onsite visits are available if needed. This ensures that even if an issue arises during peak dinner hours in Kota Kinabalu or a late-night café in KL, support is always available. Many traditional POS providers only provide weekday support, but KK POS prioritizes uptime for F&B operators who run late hours.

Yes. KK POS System integrates seamlessly with popular accounting software such as SQL Accounting, AutoCount, and Xero. This means that daily sales data, expenses, and stock movements can be exported or synced directly to accounting systems reducing manual bookkeeping and improving financial accuracy. For F&B owners in Malaysia, this eliminates hours of end-of-month reconciliation and helps ensure compliance with SST reporting.

KK POS System uses bank-grade encryption (SSL/TLS) to secure transactions and comply with PCI DSS standards for payment security. All sensitive data, including e-wallet and DuitNow QR payments, are processed via certified payment gateways, not stored directly on the POS. This ensures that customer data is safe from breaches or leaks. Compared to older POS systems that store data locally (risking theft or hardware loss), KK POS offers cloud redundancy and multi-layer security.

Your data remains yours. If you decide to stop using KK POS, we provide full data export options for sales history, inventory reports, and customer databases. Unlike some providers who lock customer data, we ensure that restaurants can still access their past records for accounting, tax filing, or migration to another system. This gives Malaysian F&B operators peace of mind that their business intelligence is protected and portable, even after subscription ends.

Features & Benefits

KK POS System includes a built-in loyalty program that lets restaurants create membership tiers, point systems, and discounts. Customers can collect points with every purchase (for example, 1 point for every RM1 spent) and redeem them for rewards, free items, or special promotions. This encourages repeat visits and builds customer loyalty something especially powerful in competitive markets like Kota Kinabalu’s café scene or KL’s bubble tea industry.

Our system provides real-time reports and analytics, including:

    1. Daily, weekly, and monthly sales reports.
    2. Top-selling and underperforming menu items.
    3. Staff performance tracking.
    4. Profit & loss summaries.

Restaurant owners can view these reports anytime through the Boss App, allowing them to make quick, data-driven decisions instead of waiting for manual end-of-day reports.

KK POS System automatically tracks stock levels every time an order is made. It can:

    1. Deduct ingredients from inventory in real time.
    2. Send low-stock alerts to prevent shortages.
    3. Forecast demand based on sales trends.

This helps F&B operators in Malaysia reduce wastage and avoid stockouts, saving money and ensuring smoother operations—especially during busy weekends or festive seasons like Hari Raya and Chinese New Year.

KK POS allows restaurants to send automated SMS or WhatsApp campaigns to customers. For example, a café can remind members of a “Buy 1 Free 1 Latte Wednesday” promo, or a seafood restaurant in Kota Kinabalu can send Chinese New Year set menu offers directly to loyal customers. This O2O marketing feature increases customer return rates without requiring extra staff effort.
